Welcome to Amayama Retreats. These terms help us create a safe, sacred space for everyone's healing journey. By booking with us, you're agreeing to these guidelines. If you have any questions, we're here to help clarify anything.

These terms exist to create clarity and safety, not to create barriers. We see every inquiry as the beginning of a conversation. If you have concerns about any aspect of these terms, we welcome you to discuss them with us. Our goal is to support your healing journey in the safest, most appropriate way possible.

1. Booking Your Retreat

How to Reserve Your Space

To confirm your retreat booking, we'll need:

  • A completed booking form
  • Your health questionnaire (kept completely confidential)
  • Payment of your deposit

Payment

We require a deposit to hold your space. The remaining balance will be settled at the Retreat. We accept credit cards, bank transfers, and other payment methods as discussed during booking.

2. If Your Plans Change

Deposits and Transfers

We understand that life happens and plans can change. Your deposit is non-refundable, but we're happy to work with you:

  • Transfer to another date: Your deposit can be transferred to a future retreat based on availability. Just let us know as soon as possible so we can find a date that works for you.
  • Cancellations more than 15 days out: Full refund of any payments beyond the deposit
  • Cancellations less than 15 days before: No refund, but remains transferable to future dates

If We Need to Cancel

While rare, we may need to cancel a retreat due to unforeseen circumstances. If this happens, we'll offer you a full refund or the option to join another retreat at no additional cost.

3. Health and Safety

Your Health Questionnaire

Your safety is our top priority. We ask that you provide complete and honest information about your health, medications, and medical history. This information is kept strictly confidential and helps us:

  • Ensure plant medicine is safe for you
  • Prepare appropriate support during your stay
  • Make any necessary accommodations

If you're uncertain about whether something in your medical history is relevant, please share it anyway. We'd rather have too much information than too little when it comes to your wellbeing.

Preparation Guidelines

We provide detailed dietary and preparation guidelines before your retreat. Following these guidelines helps ensure your safety and enhances your experience. If you're having difficulty following any guideline, please let us know before you arrive so we can discuss it together.

When We May Need to Have a Conversation

Occasionally, we may need to have a caring but honest conversation about whether plant medicine is appropriate for you. This might happen if:

  • Your health information reveals safety concerns we need to discuss
  • You haven't been able to follow the preparation guidelines
  • New information comes to light that affects safety

Our goal is always to find the safest path forward for your healing, whether that's proceeding with ceremony, adjusting the plan, or sometimes recommending alternative healing approaches.

4. Understanding the Risks

Working with plant medicine is a profound experience, and we want you to understand what you're stepping into:

  • Ceremonies can bring up intense emotions and challenging experiences as part of the healing process
  • Physical effects like purging (vomiting) are common and considered part of the cleansing
  • You may experience temporary changes in perception and consciousness
  • The retreat setting includes outdoor spaces and activities, including hikes, excursions, and activities in nature

By participating, you acknowledge these aspects of the experience. We're here to support you throughout, and our experienced facilitators are trained to hold space in any circumstances.

5. Creating Sacred Space Together

We ask all participants to help maintain the sacred container of the retreat by:

  • Treating everyone with respect and kindness
  • Honoring the confidentiality of other participants' experiences
  • Following the guidance of facilitators
  • Maintaining appropriate boundaries with other participants
  • Keeping the space free from alcohol and recreational substances
  • Respecting the sacred nature of ceremonies
  • Keeping common areas clean and tidy
  • Respecting the property, house and not entering of staff-only areas

If someone's behavior is significantly disrupting the group's healing process, we'll have a conversation to address it together.

6. Photos and Sharing

We may take photos during the retreat for our website and promotional materials. We will only share photos with your explicit permission, and only when participants are not recognizable (with faces not shown).

7. Travel and Insurance

  • You're responsible for arranging your own travel to and from the retreat
  • We recommend travel insurance in case plans change
  • We can't be held responsible for travel delays or related expenses
  • Your accommodation and meals during the retreat are included as described in your booking

8. Unforeseen Circumstances

If natural disasters, pandemics, government restrictions, or other events beyond our control affect the retreat, we'll work with you to reschedule or provide a refund as appropriate.

9. Changes to These Terms

We may occasionally update these terms. Any changes will be posted on our website. Significant changes will be communicated to those with upcoming bookings.
